Conference procedures and guidelines

Aim of the conference
To bring together researchers, policy makers and practitioners working with transmural co-operation and coordination between different providers of health care and of social care in order to exchange knowledge and experiences and to generate new ideas, new research and new projects on integrated care. Both researchers and practitioners are invited to present their current or latest research results and projects.

Abstracts:
1. Abstract selection by conference committee (before December 1st);
2. Contributor prepares a paper with assistance of a IJIC editor (before January 31st);
3. Publishing of a book of abstracts at IJIC portal (January 2004);
4. Full papers published on IJIC portal site (February 13, 2004);
5. All presentations will be published in the conference proceedings (March / May 2004);
6. Contributor can be invited to submit his or her paper for IJIC's peer reviewed section.

Submissions
We are interested in papers that follow one of the following formats:
- A research paper that reports the results of a completed original research project. The material should not have been previously published elsewhere, except in a preliminary form, and it should be ready for publication as a journal article;
- A paper-in-progress, presenting interesting developments and news, from a (research) project that is not yet completed, but has already shown results interesting to researchers and practitioners in the field of integrated care;
- Papers on projects and developments that focus on practice-oriented questions and report on recent experiences. These papers should present case descriptions of integrated care on the national, regional or local level, set against the background of policy and policy changes;
- A policy paper, dealing with any development in policy, be it governmental, organisational, or any other which affects integrated care.

Poster presentations:
The conference programme will offer the opportunity for researchers to present their research to the conference participants in the form of a poster presentation, following the guidelines below. There will be reserved a time on the programme for participants to go and view the posters and ask questions and the text of the posters will be placed in the conference proceedings published after the conference.

Guidance notes for the preparation of poster presentations
1. A poster is not bigger than 80 x 100 centimeter.
2. You may use three posters as a maximum.
3. All your posters are good looking and well designed.
4. Your first poster contains a title, the names of all authors and the sponsor of your research, your complete address including email address and websites.
5. The content is similar to your abstract: you describe a. the reason why of your research b. the research question c. the research method d. the (preliminary) results e. conclusion f. discussion.
6. It is usefull to add to your poster an enveloppe in which readers can put a message to you and an other enveloppe in which you put your own business cards. An idea could be to have your poster on A4 format to distribute to the conference participants.
We will publish the text of the posters in a separate appendix to the proceedings of the conference. We expect your text ultimately January 15, 2004.

Booking and Fees:
Delegates attending the conference without giving a paper pay the following fee:
- Attendants fee for bookings before 31 December 2003: 200 Euro
- Attendants fee for bookings after 31 December 2003: 250 Euro
- Special rate for students: 150 Euro

The WHO may provide fellowships for a limited number of participants from Eastern European countries
 ATTENTION: SPEAKERS ARE EXEMPT FROM PAYING REGISTRATION FEE (ONE SPEAKER PER PAPER).
All fees include:
- Admission to all sessions
- Documentation (handed out at the registration desk)
- Lunch and refreshments
On receipt of the registration form, delegates will receive a note of confirmation as well as an invoice. Delegates fees must be paid before admission to the conference.
The number of conference places is limited. If your registration can not be accepted anymore, you will be notified of this by email.
Cancellations up to two weeks before the start of the conference are free of charge. Cancellations from two to one week before the meeting will be charged with 50% of the fee and after that the full fee has to be paid. Substitutions may be made at any time free of charge.

Accomodation:
Participants and presentators should make their own reservation at the conference hotel,
under the name IJIC conference or IJIC/WHO and you will benefit from a discount.
